The problem

The owner was managing rate lists, invoices, and collections by hand — updating prices from memory, generating invoices ad hoc, and with no quick way to look up a customer or see revenue and outstanding collections at a glance. All of it cost real hours of manual work every day.

What we built

A Retool ops console running entirely off Google Sheets as the data layer, with no separate database to stand up or maintain. Rate lists sync directly from a shared Google Sheet the owner already used, invoices generate and send from the same console, and the owner can search customers and check revenue and collections in one place. Planning through launch took two weeks.

Not every internal-tools engagement needs to be an enterprise migration. This one was a single owner running a carpentry business who needed a few hours of his day back.

The problem

Rate lists lived in the owner’s head and got updated inconsistently. Invoices were put together manually each time, with no record you could search later. Checking who owed what, or what the month’s revenue looked like, meant going through paper and memory rather than looking it up.

Why Google Sheets, not a database

The owner already kept his rate list in a Google Sheet. Rather than migrating that into a new database he’d have to learn to manage, we built the Retool console to read and write against the Sheet directly — it’s the single source of truth for rates, and Retool is the interface on top of it for invoicing, customer search, and revenue tracking. No separate database means no extra infrastructure cost and nothing new for the owner to maintain beyond the spreadsheet habit he already had.

What shipped

A Retool console covering rate-list sync, invoice generation and sending, customer search, and revenue and collection tracking — planned and delivered in two weeks.

Impact

About two hours a day that used to go into manual invoicing and lookups are back in the owner’s hands. It’s a small project by scope, but scoped correctly: the right amount of software for the size of the business, not more.
